Approve Packaging Samples Without Losing Version Control

Use separate structure, artwork and packing decisions to approve a packaging sample. Record failures, revisions and exactly which version is ready for the next step.

“Sample approved” is only useful when everyone knows which sample and what was approved. A photograph of a closed box cannot show every dimension, the contents of the supplied set or the wording on a hidden panel. Make approval specific enough to survive a later design change.

Identify the review package

Give the sample a reference and associate it with the drawing, artwork file and component list. Record whether it is a structural prototype, a print proof or a complete production-representative sample. Each can answer different questions; a blank prototype should not become an accidental color approval.

Use the same product contents that the packaging is meant to hold. Where several sizes share a design, state which sizes the review covers and which still need checking. A larger format can introduce handling issues that are absent in the smallest sample.

Make three decisions, even if they share one form

A successful review of one row does not resolve the others. For a clear cake box, a good panel fit says nothing about the final printed label. For a gift set, attractive artwork does not confirm that all accessories are included in the quoted unit.

Write actionable findings

Replace “too tight” with the location and the action that fails. For example: “The board catches the front wall when removed using the intended hand position.” Add the drawing reference, photograph and condition of the sample. Ask the supplier to identify the proposed correction before another review.

Separate observations from decisions. “The lid touches the topper” is an observation; “revise the usable internal height and resample” is the next action. A proposed solution remains open until someone confirms the revised article.

Decide what a change invalidates

If only a telephone number changes, the text proof needs another check. If the wall height changes, the dieline, fit and carton arrangement may need attention. If the supplied material changes, earlier performance observations may no longer describe the proposed construction.

Keep the previous reference in the record and mark it superseded rather than letting two files compete as the approved version. Record who reviewed each part and the date of that actual review; do not invent an approval on someone else’s behalf.

Close with a bounded release statement

State the accepted sample, drawing, artwork and packing references together, with any unresolved exclusions visible. The goal is an unambiguous instruction for the next stage, not a general endorsement of every future variation.

Start earlier in the process with a complete packaging brief. For multi-size cake orders, connect the approval record to the size-and-component purchasing matrix so the reviewed configuration and the ordered sets remain aligned.
